Adapt the example to your place
Agree the handoff before people leave separately. A newer person may change an item after another person checked it.
Use a clear action for each item
Change any item that does not match your responsibilities. Separate preparation from the final check, and remove anything you cannot personally confirm.

Plus can share a place through iCloud. Invited people can record checks without their own Plus; an owner controls the list.
